POSITION OVERVIEW 

As a Project Coordinator, you play a pivotal role in supporting the planning, execution, and monitoring of projects within our organisation. Your role involves coordination, communication, and administrative tasks to ensure the successful delivery of projects in line with established timelines and objectives.

YOUR AVERAGE WEEK IN THIS ROLE 

  • Provide administrative support to project managers, including scheduling meetings, coordinating workshops, booking travel and liaising with participants on project logistics. Work with client-side administrators and personnel where required to effectively plan and rollout the client initiative.  
  • Support the Project Managers to establish program goals, activities, deliverables and success metrics. You will assist the project team with the delivery of multiple concurrent projects to time, on budget and meet quality standards. 
  • As directed by the Project Manager you will maintain accurate and up-to-date project documentation, including project schedules, status reports, risks and issues and other relevant documentation. You’ll prepare regular progress reports for project managers and stakeholders. 
  • Work closely with project team members to understand program objectives and scope and be able to effectively communicate these to our clients and other team members where required. 
  • Plan for and control quality by reviewing items before delivery to client including monitoring and enhancing internal and external deliverables/documents and working with internal teams on needed revisions/enhancements. 
  • Research and assist with bringing together the creative components of a project such as learn environments and immersive activities that enhance the participant experience. 
  • You’ll be the liaison for various departments, coordinate activities and exchange information to manage the smooth delivery of the program.

TO BE SUCCESSFUL IN THIS ROLE YOU’LL NEED 

  • 5+ years of project coordination and logistics delivery experience. 
  • Demonstrate organisation, an exceptional attention to detail, positivity, and adaptability, with the ability to efficiently prioritise and multitask. Additionally, show the capability to concentrate on a specific task when necessary. 
  • The ability to take direction and instruction. To keep program documentation up to date and consistent with Interchange’s level of excellence and  
  • Experience in, and a high comfort level with, a fast-paced, deadline-driven culture.  
  • To be a perceptive team player with excellent and adaptable communication skills (both in speaking and in writing). 
  • To be proactive and forward-thinking, with the ability to identify potential opportunities that are on the horizon. 
  • A determined problem solver who can troubleshoot effectively with the ability to exercise mature judgment. 
  • Willingness to share knowledge and learn from others in an open and collaborative team.  
  • Strong computer literacy and technical competence. Including the Microsoft office suite. 

DESIRED QUALIFICATION

A certification in project management, such as Project Management Professional (PMP), PRINCE2, or Certified Associate in Project Management (CAPM)
